Executive Secretary Position Description

  • The main role of the Executive Secretary is keeping detailed notes and meeting minutes at all Executive Cabinet and Full Cabinet meetings.
    • Notes should also include attendance, what time the meeting starts, and what time it ends.
    • This year, notes have been taken on Google Docs – (www.docs.google.com). SGA currently has a Drive on Google called “SGA 15-16 Full Cab Docs” and within that, there is a folder called “Meeting Minutes,” which is where our notes are placed. At the beginning of the year, everyone was added to the Drive, which allows them access to the notes, and gives them the ability to watch the notes being typed during meetings if they choose to do so.
  • Another important part to this role is providing for the general correspondence of SGA through serving as an assistance and simply helping out wherever needed.
    • It’s important to be in good communication with the President, and do any smaller tasks for them to help lighten their load and take a few things off their plate.
    • This year specifically, I worked closely with the VP of Marketing with tasks such as shopping, decorating, making posters, and creating bulletin boards.
    • I also assisted the VP of Academic Life in regards to Homecoming, (but this can apply to other events as well.) We worked together on sending e-mails regarding Homecoming court results, and I continued to be in communication with the attendants regarding information, and details for Homecoming weekend.
    • A lot of this position also involves doing behind the scene tasks for events such as making sign-up sheets, picking up things at the store, doing administrative tasks, and simply being available to help and assist wherever assistance is needed.
  • Help plan and execute all SGA events.
  • Voice any concerns you are consistently hearing from students before the SGA Cabinet.
